Your Indian Property Should Not Depend on Your Next Visit to India
A remote-owner's guide to tenant sourcing | NRIWAY
For an NRI Property owner, a visit to India may be planned months in advance. A tenant enquiry, however, may arrive today.
If the property can only be inspected, shown or discussed when the owner is physically present, a straightforward leasing decision can become unnecessarily difficult. The answer is not to surrender control of the property. It is to establish a process that allows routine tasks to proceed while important decisions remain with the owner.
Separate local coordination from owner authority
A practical remote-leasing arrangement should distinguish between tasks that can be coordinated locally and decisions that require the owner's approval.
Local coordination may include:
- Sharing approved property information with prospective tenants.
- Arranging and recording property visits.
- Reporting property-condition observations.
- Collecting offers and recording proposed terms.
- Coordinating agreed next steps.
Owner decisions may include:
- Approving the final rent and deposit.
- Accepting or rejecting a prospective tenant.
- Agreeing to concessions or repairs.
- Approving the proposed tenancy terms.
- Authorising execution of the relevant documents.
The actual allocation of responsibilities should be documented. No representative should assume authority to bind the owner simply because they coordinate visits or enquiries.
Create a remote-owner property file
Before marketing begins, keep a single organised record of the property description, approved photographs, furnishing inventory, expected rent, availability, viewing instructions and owner contact details.
Add a decision log recording offers, approvals, agreed changes and pending questions. This helps prevent contradictory instructions and reduces dependence on scattered messages.
Example: a decision made across time zones
Suppose a prospective tenant offers ₹42,000 per month and requests a move-in date in ten days. The owner is overseas and cannot respond immediately.
A documented process allows the representative to record the offer, clarify the proposed terms, check the property’s availability and request the owner's decision. It does not authorise the representative to accept the offer without permission.
The ₹42,000 figure is illustrative, not a market quotation.
The right support should provide visibility, not just convenience
A useful tenant-sourcing service should clarify what is included, how updates are delivered, how offers are escalated and what remains the owner's responsibility.
NRIWAY (OrangeLeaf Services Private Limited) assists property owners with tenant sourcing in Pune, Mumbai, Bengaluru and Kolkata. The scope, fees, reporting frequency and approval process should be agreed before the engagement begins.
