The Tenant Who Never Visits: How Remote Leasing Decisions Can Be Made More Reliably

A property-owner guide for interstate and overseas leasing | NRIWAY

Some owners cannot attend every property visit. They may live in another Indian city, work abroad or have several Properties to manage. They must therefore make decisions using information collected by someone else.

The challenge is not to eliminate remote decision-making. It is to make sure the information being used is accurate, relevant and sufficient.

Replace Impressions with Evidence

A message saying “the flat is good” does not help an owner compare it with alternatives. A structured report can.

A useful property report should include:

  • Current photographs and, where appropriate, a video walkthrough

  • Property condition and any visible maintenance concerns

  • Accurate furnishing and appliance details

  • Building access, parking and other relevant features

  • Asking rent and what is included

  • Prospective tenant feedback after the visit

  • Outstanding questions requiring owner approval

The report should distinguish direct observations from opinions. For example, “the bedroom window did not close properly during the visit” is more useful than “the flat needs improvement.”

Create an Approval Boundary

Before tenant sourcing begins, document what the representative is authorised to do.

For example, the representative may be authorised to arrange visits, share approved property information and communicate offers. The owner may retain authority over final rent, deposit, lease duration, concessions, applicant approval and contractual terms.

The precise division depends on the agreement between the parties. It should not be left to assumption.

A Simple Remote Decision Matrix

Imagine two hypothetical offers:

Decision factor         Offer A Offer B
Monthly rent                            ₹40,000                   ₹39,000
Proposed move-in                            In 30 days                   In 7 days
Lease duration                            11 months proposed                   11 months proposed
Required repairs                            None reported                   Minor repair requested
Other terms                            Subject to approval                   Subject to approval

Offer A has the higher rent, but it may start later. Offer B may start sooner but involves a repair request. Neither is automatically better.

The owner should compare expected income over the same period, repair costs, the reliability of the information, proposed terms and personal priorities before deciding.

Remote Does Not Mean Unchecked

A representative's report is an aid to decision-making, not a substitute for the owner's approval or appropriate verification. Material discrepancies, missing documents or unresolved property issues should be escalated rather than concealed to accelerate a deal.
